Saving an Email Signature in Outlook Desktop App

Procedure:

  1. Open Outlook:

  2. Access Signature Settings:

    • In the "Outlook Options" window, click on "Mail" in the left-hand menu.
    • Click on the "Signatures..." button under the "Compose messages" section.
  3. Create a New Signature:
    • In the "Signatures and Stationery" window, click on the "New" button.
    • Enter a name for your new signature in the pop-up window and click "OK."
  4. Compose Your Signature:
    • In the "Edit signature" section, type and format your email signature. You can include your name, job title, contact information, and any other relevant details.
    • Use the formatting tools to customize the appearance of your signature (e.g., font, color, size).
  5. Set Default Signatures:
    • In the "Choose default signature" section, select your new signature from the dropdown menus for "New messages" and "Replies/forwards" if you want it to be automatically added to your emails.
  6. Save Your Signature:
    • Click "OK" to save your signature and close the "Signatures and Stationery" window.
    • Click "OK" again to close the "Outlook Options" window.
  7. Verify Your Signature:
    • Create a new email to ensure that your signature appears correctly.
    • Make any necessary adjustments by repeating the steps above.

  • Avoid using excessive images or large file sizes in your signature.
